Student Accounts Receivable (AR) pertains to balances owing to UCLA Extension by individual students, as opposed to third-party sponsors. Although UC policy requires students pay in full prior to course or program participation, there are a few circumstances under which UCLA Extension students may be invoiced for some or all of their fees.
Per UC policy, Extension requires most students to pay their fees in full in advance of course or program participation. Students whose fees will be paid by a third-party are enrolled immediately upon receipt of a valid purchase order (PO). Students with financial aid funding are also enrolled prior to receipt of awarded funds upon instruction from Extension Financial Aid.
For practical purposes, there are certain additional circumstances under which this policy may be waived.
- Same-day billing/payment instances coordinated directly between the student and Student Services representatives
- Course transfers executed via the Destiny student portal which results in additional fees due to Extension
- Budget & Financial Services (BFS) initiated transactions via recharge order request (ROR) or third-party purchase order (PO) which covers only some, but not all, of the fees associated with the enrollment transaction
Same-day Billing/Payment
Same-day bill/pay invoices are intended for immediate payment through Student Services. These balances should not be carried beyond 24 hours - the student may be dropped from their course(s) if the balance remains unpaid after that point.
Student Portal Course Transfers
Student portal course transfers are initiated online by the student when transferring from one course to another - the subsequent course having a higher fee and therefore generating an owing balance. These balances are collected by BFS and students have 30 days to pay in-full, or risk drop. Payment reminders are emailed to the student at the initiation of the transaction, the 15-day point, and a final notice at the 30-day point. If a balance remains unpaid after 30-days, the student may be dropped.
Other Transactions
Balances generated from transactions initiated by BFS, like ROR's or financial guarantee/purchase orders, are also collected by BFS. These balances follow the same payment reminders - at the initiation of the transaction, a 15-day reminder, and a final notice at the 30-day point. If a balance is left unpaid after 30-days, the student may be dropped.
